Information we collect

We may collect your name, email address, telephone number, business name and anything you choose to include in an enquiry. Our hosting and security providers may also process limited technical information such as IP address, browser type, requested pages, timestamps and security logs.

We use Cloudflare Web Analytics to receive aggregated information about site usage and performance, such as page views, referring sites, device or browser categories and page-loading performance. This analytics service does not use cookies or local storage, does not fingerprint visitors and is not used to build individual visitor profiles.

Please do not send confidential, special-category or highly sensitive personal information through the general contact form.

How and why we use it

  • To read, respond to and manage enquiries.
  • To take steps you request before entering into a contract.
  • To provide and administer services where a contract is agreed.
  • To understand aggregated website usage and improve content, navigation and performance.
  • To maintain the security, reliability and proper operation of the website.
  • To keep appropriate business, legal and financial records.

We normally rely on steps taken at your request before a contract, performance of a contract, compliance with legal obligations, and our legitimate interests in operating, understanding, improving and protecting the business and website. If we ever rely on consent for a particular use, you may withdraw it at any time.

Who receives it

Information may be handled by authorised VSL Media personnel and trusted providers used for website hosting, analytics, email, business administration, security or service delivery. Microsoft 365 receives website enquiries into the VSL Media shared mailbox. Cloudflare provides the website analytics described above and processes performance and usage information on our behalf. We only disclose information where necessary, where you ask us to, or where the law requires it. We do not sell personal information or use website analytics for behavioural advertising.

International transfers

Some technology providers may process information outside the United Kingdom. Where this happens, we will use an applicable adequacy arrangement or appropriate contractual safeguards as required by UK data-protection law.

How long we keep it

General enquiries that do not become client work are normally kept for no longer than 24 months after the last meaningful contact. Client and transaction records may be kept longer where needed to provide services, maintain accounts, resolve disputes or meet legal obligations. Security logs are kept only for the period reasonably required for security and troubleshooting.

Cloudflare states that unsampled Web Analytics data is retained for seven days, after which reporting uses aggregated and sampled information; the analytics dashboard provides reporting for up to six months. We review whether analytics information remains necessary and use it only for website measurement and improvement.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, receive certain information in a portable format, and object to processing based on legitimate interests. You also have the right to object to direct marketing at any time.

To exercise a right or object to analytics processing, email hello@vslmedia.co.uk. We may need to verify your identity.

Complaints

Please contact us first if you have a concern. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Automated decisions

The website does not make solely automated decisions about people that produce legal or similarly significant effects.

Changes

We will update this notice when our services, suppliers or legal obligations change. The date above shows the latest revision.
